An inspection failure rarely starts when the inspector arrives. It usually starts weeks earlier with a missing tag, an expired certificate, a damaged sling left in service, or paperwork that cannot be matched to the equipment on site. For lifting equipment, rigging, and load-bearing systems, inspectors are looking for two things: equipment that is safe to use and records that prove it meets the applicable requirements. If either part is missing, a project can lose valuable time waiting for corrections, testing, or replacement equipment.

Start With the Inspection Requirement

Before you clean equipment or gather paperwork, confirm exactly what the project, customer, site safety team, or authority having jurisdiction requires. “Inspection” can mean different things depending on the equipment and job. A visual check may be enough for one item, while another may require a current annual inspection, a proof load test, a manufacturer document, or a certification package tied to a specific serial number.

Do not assume a prior approval on another project will satisfy a new site requirement. General contractors, ports, industrial facilities, and marine operations may have their own documentation rules. Ask early what documents must be available, what inspection interval applies, and whether proof load testing is required before mobilization.

This matters most when equipment has been modified, repaired, newly fabricated, pulled from long-term storage, or moved between jobs. Those conditions can trigger additional review even if the item was previously in service.

How to Pass Equipment Inspection: Inspect Before the Inspector

The fastest way to fail is to let the inspector find the first problem. Put a competent person in front of the equipment before the scheduled inspection and give them enough time to flag issues that need repair, replacement, or testing.

Begin with identification. Every item that requires tracking should have a readable tag, label, or permanently marked identifier that matches its paperwork. Inspectors cannot approve a sling, lifting beam, spreader bar, hoist, shackle, or below-the-hook device if they cannot confirm what it is, its rated capacity, and its inspection history.

Then check the condition of the equipment. Look for deformation, cracks, corrosion, damaged welds, unauthorized field repairs, bent hooks, worn latch assemblies, stretched chain, broken wire strands, cuts in synthetic webbing, damaged fittings, and illegible capacity markings. Remove questionable equipment from service rather than hoping it will pass. A piece of gear with a visible defect can stop more than its own use. It can raise questions about the condition of the entire rigging inventory.

Pay attention to cleanliness as well. Paint, mud, grease, salt buildup, and jobsite debris can hide cracks, markings, and damage. Clean equipment does not guarantee approval, but it allows a proper examination and shows that the equipment is being maintained.

Match Every Piece of Equipment to Its Records

Documentation is often the real bottleneck. The equipment may be in good shape, but a certificate with the wrong serial number, missing capacity, or incomplete test information can still result in a failed inspection.

Create a simple equipment file before the inspection. For each item, verify that the physical ID matches the document and that the document identifies the item clearly. Confirm the working load limit, test date where applicable, inspection date, testing organization, and any applicable standard or project requirement. If the equipment is part of an assembled system, make sure the records cover the system components and not just one piece of it.

Keep current records separate from expired records. This reduces confusion when an inspector needs a document quickly. Digital copies are useful, but the team on site must be able to access them without relying on one person’s phone or a weak jobsite signal. A labeled folder, shared project drive, or printed certification packet can prevent unnecessary delays.

Be especially careful with equipment that looks similar. Two lifting beams may have the same design but different capacities or different test dates. A certificate is not interchangeable simply because the equipment appears identical.

Schedule Proof Load Testing Before It Becomes an Emergency

Proof load testing is not a paperwork exercise. It verifies that certain lifting equipment or fabricated assemblies can sustain a specified test load under controlled conditions. The resulting certification gives project teams and inspectors documented evidence that the equipment has been tested for its intended service requirements.

If a customer, project specification, or inspector requires proof load testing, schedule it before the equipment is needed in the field. Waiting until the equipment is already staged for a critical lift creates a costly choice: delay the work or try to source a replacement on short notice.

The right timing depends on the item and the project. New fabricated lifting devices may need testing before first use. Equipment that has undergone repair or modification may need retesting. Long-idle equipment, specialty rigging, and project-specific lifting assemblies often deserve an early review because their documentation requirements can be more involved.

Do not use an inspection as a negotiation over obvious defects. If an item is damaged, missing identification, or outside its required inspection interval, remove it from service and determine the correct next step.

Sometimes the answer is straightforward replacement. In other cases, a qualified repair, engineering review, nondestructive examination, or proof load test may be appropriate. It depends on the type of equipment, the extent of the issue, manufacturer guidance, and the governing project requirement. What should never happen is an undocumented repair made to get through the next inspection.

Field modifications are a common problem. Added lifting points, altered weldments, drilled holes, replaced components, or changed configurations can affect capacity and invalidate existing documentation. If equipment has been altered, stop and verify what is required before putting it back into service.

Prepare the Jobsite for the Inspector

A prepared inspection area saves time and makes the process safer. Stage equipment where it can be accessed, identified, and examined without moving through active work zones. Have the responsible supervisor or equipment custodian available to answer questions and provide records.

If proof load testing is being performed, make sure there is adequate space, access, and a controlled work area. The equipment must be available when the testing team arrives. Missing components, blocked access, or an unprepared laydown area can turn a quick appointment into a reschedule.

The same principle applies to documentation. Do not make the inspector wait while someone searches multiple trucks, job boxes, and email threads for a certificate. Bring the equipment list and corresponding records together before the appointment begins.

Keep Readiness From Expiring

Passing one inspection is useful. Building a process that keeps equipment ready is better. Track inspection and certification dates before they expire, not after. A 30-, 60-, or 90-day reminder system gives your team time to schedule service around project demands.

Daily or pre-use checks should also be part of normal operations. They are not a substitute for formal inspections or required testing, but they catch damage before it becomes a larger compliance issue. When a problem is found, document the removal from service and keep the item separated from approved gear.

For larger inventories, assign ownership. One person should be responsible for knowing what equipment is active, what is out for repair or testing, and which certificates are current. Without a clear owner, small paperwork gaps accumulate until the next inspection exposes them.

A Final Jobsite Check Before Approval

The day before an inspection, walk the equipment and paperwork one last time. Confirm tags are readable, capacities are visible, certificates match the items present, and any previously identified issues have been resolved. Make sure the correct equipment is staged, not a similar unit from another crew.
