An inspector should not be the first person to discover that a certification is missing, a tag is unreadable, or a piece of lifting gear has been swapped since its last test. Those details can stop a lift, delay an inspection sign-off, and put a crew behind schedule. This project inspection readiness checklist helps project supervisors, rigging teams, and equipment managers prepare the work, paperwork, and site conditions before inspection day.
For lifting-related work, readiness is more than having equipment on site. It means the equipment in service matches the records in the job file, the required proof load testing is complete, and the crew can produce documentation without searching through trucks, emails, or old project folders.
Start With the Scope of the Inspection
Before gathering documents, confirm what the inspector is reviewing. A project inspection may cover a single lifting device, a temporary rigging setup, a crane accessory package, a personnel platform, or a complete lift plan. The scope determines what records, labels, calculations, and physical conditions need review.
Ask the project lead or inspector of record what equipment will be included and what acceptance criteria apply. Requirements can vary by owner, site rules, contract specifications, equipment type, and the authority having jurisdiction. A document package that was acceptable on a previous job may not meet the requirements for the current project.
Build a simple equipment list using the actual identification numbers on each item. Include the equipment description, manufacturer, rated capacity, serial number or asset number, location on site, and whether it is in active service. This list becomes the control sheet for the inspection and prevents one common failure: producing a certificate for a similar item, rather than the exact item being inspected.
Project Inspection Readiness Checklist: Documents
Documentation is often the fastest way for an inspection to go sideways. The equipment may be in good condition, but if test certificates cannot be matched to the item in front of the inspector, the project can still lose time.
Keep the current records together in one accessible job file, digital or printed. The file should be organized so a supervisor can pull the correct certificate in seconds. At minimum, review these records before the inspection:
- Current proof load test certificates for applicable lifting equipment and rigging components
- Manufacturer information, rated capacities, and operating instructions when required
- Inspection records, maintenance records, and repair documentation
- Lift plans, engineered drawings, calculations, or approvals required by the project
- Training or qualification records for operators, riggers, and signal persons when they are part of the inspection scope
Verify that every certificate identifies the tested item clearly. Serial numbers, asset numbers, capacities, test dates, test loads, and test results should be legible. If an item has been repaired, altered, re-tagged, or placed back into service after a questionable event, determine whether additional testing or documentation is needed before the inspector arrives.
Do not assume a certificate is current simply because it is in the project folder. Check the date, the equipment identity, and the stated scope of the test. A proof load test certificate for a component does not automatically certify an assembled system, and a system certificate may not cover a substitute component added later in the field.
Verify the Equipment on Site
Next, walk the equipment that will be presented for inspection. Bring the equipment list and compare each item against its documentation. This takes less time before an inspection than it does after an inspector finds a mismatch.
Check identification tags and markings first. Capacity markings and asset identifiers must be readable enough to match the records. Look for damaged labels, missing serial plates, painted-over markings, or field modifications that make identification uncertain. If the identity cannot be confirmed, the documentation may not be usable for that item.
Then inspect the condition of the equipment. For rigging gear, look for deformation, cracks, broken wires, excessive wear, damaged hooks, latch issues, corrosion, cuts, chemical damage, or unauthorized repairs. For lifting beams, spreader bars, below-the-hook devices, and custom fixtures, examine welds, connection points, lifting lugs, pins, hardware, and structural members.
Remove questionable equipment from the planned lift until it can be evaluated. Trying to explain away visible damage in front of an inspector creates delay and puts the project team in a weak position. Inspection readiness means correcting obvious issues before they become an inspection finding.
Check Field Changes Carefully
Field changes are where paperwork and equipment frequently separate. A replacement shackle, different sling length, added hardware, modified lifting point, or changed rigging configuration can affect the inspection scope. Even when the change appears minor, it may alter capacity, clearances, load distribution, or certification requirements.
Review substitutions with the responsible project authority. Some changes only require updated identification and records. Others may require engineering review, a revised lift plan, or proof load testing. The right answer depends on the equipment, load path, site requirements, and governing standards.
Prepare the Work Area, Not Just the Equipment
An inspection does not happen in a filing cabinet. The inspector needs safe, practical access to the equipment and enough room to verify the setup. Plan the inspection location before the inspector is on site.
Clear the area around the items to be inspected. Stage equipment where tags, connection points, and critical components can be seen. Provide appropriate access equipment if inspection points are elevated. If a functional test or proof load test is required, make sure the load, test area, lift path, exclusion zone, and required personnel are ready.
Coordinate site access in advance. Confirm gate procedures, parking, escort requirements, safety orientation, PPE rules, work-hour restrictions, and any security requirements. A qualified technician who cannot access the jobsite cannot keep the schedule moving.
Weather and operating conditions also matter. Wind, rain, poor lighting, restricted work windows, and active operations can limit what can safely be inspected or tested. Build a realistic contingency into the schedule, especially for crane-supported or outdoor lifting work.
Assign One Person to Control the Inspection
A scattered inspection creates scattered answers. Assign a single project contact to meet the inspector, manage the document package, and coordinate access to equipment. That person does not need to know every detail personally, but they need authority to get answers and make decisions quickly.
The site contact should know where the equipment is staged, which documents apply to each item, who can operate or reposition equipment, and who approves changes. They should also have current contact information for the project manager, safety lead, rigger, operator, engineer, and testing provider.
Hold a short readiness review with the crew before inspection day. Confirm what will be inspected, what equipment is out of service, what documents are available, and what work must stop during the inspection or test. This avoids the last-minute problem of an item being moved, installed, or used before it has been reviewed.
Plan for Proof Load Testing Early
When proof load testing is part of the requirement, schedule it before the project reaches its critical path. Waiting until an inspector asks for a certificate is usually the expensive option. Testing may require equipment staging, test weights, safe access, site coordination, and time to issue the final documentation.

Even well-prepared projects can receive inspection findings. The difference is whether the team treats those findings as surprises or as manageable work items. Record each finding, identify the responsible party, set a correction date, and determine what proof is needed to close it. That may be a photo, revised record, repair invoice, engineering approval, or new test certificate.
Do not return an item to service based only on a verbal assumption that the issue is resolved. Confirm the corrective action meets the project requirement and update the job file. A clean closeout record protects the team during follow-up inspections and helps on future projects.
